Job Description

Sequence has been exclusively retained and is seeking an experienced individual to fulfill a hybrid Office Manager and Project Coordinator position. The role is charged with overseeing the day-to-day office administration and supporting construction efforts for a new Norther California division of a production Homebuilder that has just be established in Santa Rosa.

The role will work closely with Division President, leadership and other senior management to meet the company’s office operations, accounting, project management / contract, staffing, equipment and organizational needs. It will also be responsible supporting planning, organization and management of the administrative aspect of the organizations construction efforts, including preparation, communication, and coordination and storage of information to support construction production / management and other important operations of the branch.

The primary duties and responsibilities of office management include organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. This will comprise serving as liaison with senior managers to assess office requirements/needs and take appropriate action to meet and fulfill those requirements. In addition, ensure the upkeep and maintenance of branch facilities, technology and equipment, plus oversee organization and implementation of office standards and procedures; measuring results against standards; and recommending necessary adjustments.

Further, the role will be expected to plan and implement office systems, layout and equipment procurement; perform bookkeeping, accounting (accounts payable/accounts receivable) and payroll; and ensure proper storage and management of company records, data and forms. Requires one to perform some light human resources duties, including employee record-keeping; training, mentoring, supervision, and evaluation of clerical personnel assigned to the branch office.

The ideal candidate will have at least five (5) years of progressive, balanced background in all phases of construction office management and project support, preferably within residential homebuilding or related construction industry. Must have excellent interpersonal and strong written and verbal communication skills and abilities, as well as proven computer skills, including a proficiency in Microsoft Office applications and financial software packages.
